What information will I need to tell you and why?

The survey is primarily to make sure that all contact information we have for parents is up to date. The safety and wellbeing of your young person is paramount at SG and so we need to be able to contact you in an emergency. We will also be asking for some other information which is not mandatory but really helps SG provide a better service for young autistic people, such as the type of education provision your young does or does not attend. There will also be a section of information which will be anonymised, such as if your child has any disabilities, their ethnicity, and if they engage with any other services for young people. Local authorities often request this information from us, so it is data that could be really helpful for securing further funding.
When will I receive the email to update my information?

We plan to send out an email via Upshot (our membership management system) on the 31st of March. This email with a link in it that will take you to the survey asking you your up to date information. If you have more than one young person who is a member then you will be sent separate emails for each. Please fill in each separate one for each young person. You have until April 30th to complete the survey.
I haven't received an email with the survey! What should I do?

The email would have come from norely@upshot.com Please check your inbox for this email including your junk and spam folders. The email will have been sent to the email address you used when you first signed up with us. If you still cannot see an email, please contact verify@spectrumgaming.net and one of the team will help!
How long will the survey take to complete?

It should take around 10-15 minutes to complete.
I have moved address since we first signed up, and now we live outside one of SG’s ‘funded areas’. Will we be kicked out of SG if I update my address?

No, provided you still live in the UK (due to regulations to do with charities in the UK). This update is not to make sure that people are living in the right area, it is to make sure that the data we have is correct for the safety of your young person.
What happens if I miss the April 30th Deadline?

We plan to send two reminder emails to give you a nudge if you have not filled it in yet. If you do not fill out the form with your up to date information by the deadline we will assume that you no longer wish to be members and your account(s) will be marked for removal. This will mean that your young person will be removed from our Discord and Minecraft servers and will no longer be able to attend any of our face-to-face events.
Member accounts will not be removed straight away after the 30th April, however we aim to complete this by 31st May. If your account is removed, but you do want to continue being members, you would need to reapply to join Spectrum Gaming. In order to rejoin you would need to meet the current joining criteria. Please note that local authorities have a limited number of funded places so we cannot guarantee a place if you wish to reapply.
If you reapply you may need to also arrange verification of your young person’s ID again. If we still have a verification email on our system, we may be able to use this to verify your young person, otherwise you may need to arrange verification. As the admin team will be very busy updating membership data alongside processing current applications, it may take some time to process your application and welcome you back to the community.
I can’t remember if I filled out the survey? How do I know?

If you use the link from your survey email it will tell you if you have already filled it in and submitted it. If you are not sure though, or you cannot find the link, you can drop us an email at verify@spectrumgaming.net and we can check this for you.
What will this info be used for?
​
Contact information will only be used to keep you up to date with what is happening at SG (if you selected this) and for contacting you regarding support for your young person. The Youth Work team usually email for non-emergency contact, and for emergencies will try to reach you via text in the first instance. New information that we are asking for is either to be better able to support your young person within SG, or provide data on our impact for local authorities so they continue to fund our services so we can help more people. We do not sell your information to any 3rd parties.
Is answering the survey compulsory?

Providing up to date contact information for your young person is mandatory if they wish to remain members of the community, as we require this to safeguard them while using our service. Some of the other questions in the survey are optional, and you can skip providing that information and just update the required details if you prefer.
My young person no longer engages with SG/It's not for them- can we please leave?

We completely understand that SG isn’t for everyone and that people’s interests change. If you would no longer like to be members you can either email verify@spectrumgaming.net to let us know, or simply ignore any email reminders for the survey and we will remove your details from the system after April 30th.
